About the Role

The Administrative Assistant of Operations will play a crucial role in ensuring the smooth running of our operations. This role requires proficiency in QuickBooks, MS Office Suite, and a comprehensive understanding of administrative tasks, including onboarding/offboarding adjusters, payroll management, and accounts receivable.

Adjuster Management:
Efficiently handle the onboarding and offboarding processes for new and exiting adjusters.

Payroll & Financial Management:
Process payroll in a timely and accurate manner.
Manage accounts receivable, ensuring all invoices are issued and payments are collected promptly.
Utilize QuickBooks for financial tracking and reporting.

Administrative Support:
Provide administrative support to the operations team.
Create and manage documents, correspondence, and reports using the MS Suite.
Maintain an organized filing system for easy retrieval and record-keeping.

Communication:
Serve as a liaison between co-workers and senior management.
Ensure effective oral and written communication across the team.

Miscellaneous Tasks:
Apply common sense understanding to execute instructions provided in various forms.
Address and solve problems that involve multiple variables within standardized situations.

Requirements

  • High School Diploma or GED equivalent.

  • Minimum of 5 years of administrative support experience.

  • Proficient experience with QuickBooks and MS Suite, including Word, Excel, Outlook, and PowerPoint.

  • Strong mathematical skills; can perform operations with whole numbers, fractions, and decimals.

  • Capability to work on multiple tasks simultaneously and prioritize time-sensitive assignments.

  • Excellent organizational skills.

  • Ability to work independently with minimal supervision and also thrive in a team environment.

  • Must maintain a high level of confidentiality and exhibit a willingness to learn new tasks.
